Visio Plan 2 vs Visio Professional 2024: Subscription or One-Time Purchase?

If you need the full Visio desktop app, Microsoft offers it two ways: Visio Plan 2, a subscription, and Visio Professional 2024, a one-time purchase.

The diagramming tools are largely the same. What differs is how it’s licensed: how many PCs each person can use, which kind of account signs in, whether new features keep arriving, and a handful of cloud-connected extras. This guide compares the two using Microsoft’s own product and support pages.

The quick answer

  • Visio Professional 2024 is a one-time purchase for one PC, linked to a Microsoft account. It keeps the 2024 feature set.
  • Visio Plan 2 is a subscription per user, on up to five PCs each, signed in with a work or school account that your admin assigns. It gets new features while you’re subscribed and adds cloud features such as Visio for the web, editing in Teams, and Data Visualizer.

If one person needs the Visio desktop app on one PC, Professional 2024 covers it. If your team works across several PCs, inside Microsoft 365, or in Teams, Plan 2 fits better.

Same core capabilities

Microsoft puts it plainly in its Visio Professional 2024 FAQ: Visio Plan 2 “includes the same capabilities as Visio Professional 2024.”

According to Microsoft, Visio Professional 2024 lets you:

  • Start from ready-made templates and shapes for professional diagrams.
  • Build and validate diagrams to industry standards, including BPMN 2.0 and UML 2.5.
  • Create database visualizations with built-in database model diagrams.
  • Link diagrams to live data from Excel workbooks, Access databases, SharePoint lists, SQL Server databases, Exchange Server directories, and other OLEDB or ODBC sources.
  • Generate org charts automatically from data sources such as Excel or Exchange.
  • Import AutoCAD (DWG) files.
  • Add and reply to comments, and draw with a finger or pen on touch devices.

Plan 2’s desktop app has all of this, so day-to-day diagramming feels much the same in either.

Where they differ

1. Devices and users

  • Visio Professional 2024: licensed for one PC. Microsoft lists Windows 11, Windows 10, and Windows Server 2019 as supported operating systems.
  • Visio Plan 2: licensed per user. Microsoft says each user can install the desktop app on up to five PCs.

If one person moves between an office desktop and a laptop, Plan 2 covers both. With Professional 2024, each PC needs its own license.

2. The account you sign in with

  • Visio Professional 2024 is a non-subscription version. You go to office.com/setup, sign in with a Microsoft account, and enter your product key. After that, the license stays linked to your Microsoft account, and you can reinstall from your account page.
  • Visio Plan 2 uses a work or school account. Your Microsoft 365 admin assigns a Plan 2 license to you, and you install Visio by signing in to microsoft365.com with that account.

This is often the deciding factor. If your business already runs Microsoft 365 with work accounts and an admin, Plan 2 slots straight in. If you just want Visio on a PC without a Microsoft 365 setup, Professional 2024 is simpler.

3. Updates and new features

  • Visio Plan 2: Microsoft describes it as the “always up-to-date” desktop app. It installs the latest feature and security updates for as long as the subscription is active.
  • Visio Professional 2024: you buy it once and it keeps the feature set it launched with. Microsoft says the 2024 release “doesn’t receive feature updates after launch.”

Some businesses prefer a fixed feature set that doesn’t change under their staff. Others want new features as they arrive. Neither is wrong; it depends on how your team works.

4. Cloud features only in Plan 2

Microsoft lists these as part of Visio Plan 2:

  • Visio for the web, so you can open and edit diagrams in a browser.
  • Create, view, and edit Visio files in Microsoft Teams (Teams is licensed separately).
  • Data Visualizer for Excel, which Microsoft calls a cloud-only feature.
  • Database Reverse Engineering, which Microsoft also lists as cloud-only.
  • Export to Word and Slide Snippets for PowerPoint.
  • Embedding Visio diagrams in Power BI dashboards (Power BI is licensed separately).
  • 2 GB of OneDrive for work or school storage. If you already have OneDrive for work or school, Microsoft says this doesn’t add to your existing storage.

For Professional 2024, Microsoft notes you can share diagrams from online locations such as OneDrive for Business and SharePoint, which are sold separately.

Can Plan 2 and Professional 2024 users share files?

Yes. Microsoft says Visio Plan 1, Visio Plan 2, and Visio Professional and Standard 2024 all use the same XML-based Visio file format, so a diagram made in one opens in the other and mixed teams work fine. If someone uses a much older Visio, you can save a copy as a Visio 2003–2010 Drawing (VSD) from File > Save As.

Which should you buy?

Choose Visio Professional 2024 if:

  • One person needs Visio on one PC.
  • You’d rather buy once than subscribe.
  • You don’t use, or don’t want to use, a Microsoft 365 work or school account for Visio.
  • You want a fixed feature set that doesn’t change after installation.

Choose Visio Plan 2 if:

  • People need Visio on more than one PC each.
  • Your business already uses Microsoft 365 with work or school accounts and an admin who assigns licenses.
  • You want to edit diagrams in a browser or in Teams, or use Data Visualizer, Export to Word, or Power BI embedding.
  • You want new features as Microsoft releases them.

What about Visio Standard 2024?

Visio Standard 2024 is the other one-time edition, also for one PC. See Visio 2024 Standard vs Professional for how it compares, or view Visio Standard 2024.

What about Visio Plan 1?

Visio Plan 1 is a web-only subscription. Microsoft says the desktop app isn’t included, so Visio for the web is the only way to use it. It isn’t listed in our store, so if Plan 1 fits your team, request a quote and tell us how many users you need.
